Prerequisite

To fill out checklists in the field, update to the latest version of the OpenSpace mobile app. (Note that you must have at least version 28.7 installed, which was released on May 9, 2024.)

Create an org-level checklist template

With OpenSpace Checklists, you can standardize inspections by creating org-level checklist templates. Users can then copy these templates to the project level, instead of having to create them anew, project-by-project. You must be an Org Admin to create org-level checklist templates. Here are the steps:

  1. In the OpenSpace web app, select Admin on the left-side toolbar of your OpenSpace organization homepage.

  2. Select the Checklists tab.

  3. Select the + Create button.

  4. Name your checklist template and click Start.

  5. Add all questions for your template.

  6. When done, you can copy your org-level checklist template to an individual project. To do so:

    1. Navigate to your project and click Project Settings.

    2. Click the Checklists tab, then the Create button, and choose Use org-level template.

Create a project-level checklist template

You can also create checklist templates at the project level. Site and Org Admins can create project-level checklist templates. Here are the steps::

  1. Go to your project on OpenSpace on the web.

  2. Select Project Settings at the bottom of the left-side navigation bar.

  3. Select the Checklists tab at the top of the screen.

  4. Select Create from the upper right, then Start from scratch or Use org-level template.

  5. Name your checklist template.

  6. Add all questions for your template.

Assign a checklist

You can assign a checklist from the web app or mobile.

To assign a checklist on web:

  1. Go to your project.

  2. Select Checklists from the left-side toolbar.

  3. Select Assign checklist.

  4. Fill out the required information and select Assign checklist.

To assign a checklist on mobile:

  1. Open the OpenSpace mobile app.

  2. Tap into your org and project.

  3. Select Checklists from the project home screen.

  4. Select New checklist.

  5. Select your template.

  6. On the Add details page, select Assign user.

  1. Open the OpenSpace mobile app.

  2. Tap into your org and project.

  3. Select Checklists from the project home screen.

  4. Select New checklist.

  5. Select your template.

  6. Fill out your checklist. Be sure to add descriptions, photos, and Field Notes.

  7. Save your checklist.

View a completed checklist on the web

  1. Back on the web application, select Checklists from the left-side navigation bar.

  2. Select the checklist you just completed.

  3. Review your completed answers, photos, and Field Notes.

  4. Note that if you click a Field Note, you’ll see a side panel you can use to edit the Field Note without leaving the list.

  5. If you click on a photo, you get a full screen view.
