Overview
Before you begin capturing, you need to upload your jobsite sheets to your project. The type of sheet you upload could impact your team’s capture experience. Please note the following to ensure best results:
- OpenSpace requires one sheet for every area that you would like to capture.
- For example, you would not use a site plan sheet for ground floor captures—instead, you should also upload a sheet for a ground floor capture.
- Sheets should only contain one floor per sheet.
- For example, a sheet should not contain the first and second floor.
- Architectural or construction sheets are best.

Uploading sheets to your project on desktop
- From your project settings, select Sheets in the left sidebar. The right side of the page shows Helpful tips for choosing and preparing sheets.
- Select Drag and drop files here, or click to upload and choose your sheet files, or drag the files onto that area.
- Note: You can upload PDF or PNG files, including multi-page PDFs. You’ll choose which pages to add in the next step.
- Note: To import sheets from Procore or Autodesk instead, see Importing and Syncing Sheets from Procore or Importing and Syncing Sheets from Autodesk.
- OpenSpace uploads the file and converts each page to an image, which can take a few minutes for large files. Select the sheets you want to add, or choose Select All, then Add sheets.
- Your sheets appear in the sheet list. To add more later, select Import sheets, then Upload from computer.
- Select a sheet in the list to preview it, then use these tools to edit it:
- Rename: select the pencil icon next to the sheet name, type the new name, then select outside the box.
- Reorder: drag the sheet up or down the list by its handle or thumbnail.
- Crop: select the crop icon, drag the handles around the area you want to keep, then select Save. To adjust the crop later, select the crop icon again.
- Tip: If a sheet shows more than one floor or area, crop it down to one area per sheet.
- Rotate: select the rotate icon until the sheet faces the right way, then select Save.
- Duplicate: select the duplicate icon. The copy appears at the top of the list with a number added to its name, such as Floor Plan (1).
- Tip: For similar floors, upload the plan once, duplicate it for each level it covers, then rename each copy (for example, Level 5 Floor Plan and Level 6 Floor Plan).
- Delete: select the trash can icon.
- Re-center and zoom: use the buttons in the lower right of the preview.
- Please note: Once captures or Field Notes are pinned to a sheet, you can no longer crop, rotate, or delete it. You can still rename it.
Uploading sheets to your project on mobile
- Log in to the OpenSpace mobile app.
- Select the project you want to upload sheets to.
- Tap the Sheets icon.
- In the upper right corner, select Edit followed by Add.
- Your mobile device file system will populate to select the sheet.
- On mobile, this is the only time to edit the sheet name. After this, most edits, such as editing the sheet name, must be done on desktop.
- Select Upload sheet(s).
Editing existing sheets
The edit options available are dependent on the phase of the project and the data, if any, associated with the sheet(s).
Editing sheet names on desktop
You can edit sheet names at any phase of the project, no matter if there is existing data associated with the sheet.
Reordering sheets
If you need to change the order of your sheets throughout the project there are no restrictions, and you can do it on mobile and desktop. Some teams move sheets around throughout a project—for example, if you’re focused on a specific zone for a week, you could put those sheets at the top of the list.
- Mobile:
- Select Sheets in the project view.
- Tap Edit in the upper right corner.
- Tap Change sheet order.
- Hold down on the sheet to move it up or down the list.
- Desktop:
- Select Sheets in project settings.
- Drag the sheet up or down the list by its handle or thumbnail.
Replacing a sheet
If your sheet for Level 1 is outdated, for example, and you want to replace it with a new Level 1 sheet, do not upload the new sheet. Connect with the OpenSpace Support team to discuss if your sheets are a good option for a sheet replacement, which is actionable only by the Support team.
- Note: If the new sheet is similar in layout to your current sheet, this is a good indicator we will be able to quickly replace the sheet.
Breaking up a sheet with multiple levels
Sheets with drawings for two levels is invalid in OpenSpace because doing so could prohibit features from working, such as BIM model alignments. If you need to break up an uploaded sheet because it contains drawings for two levels, such as Level 1 and Level 2, follow these steps:
- Pause capturing.
- Upload the sheet again. Duplicate the sheet, and then crop out the appropriate level on both sheets.
- Name the sheets “Level 1 New” and “Level 2 New.”
- If the captures can’t be easily defined as which is Level 1 and which is Level 2, please edit the capture name to indicate the level.
- Connect with OpenSpace Support and explain the situation. (Note: Depending on the volume of captures that need to be moved, we may redirect you to your Account Executive for a data migration request which falls under our Professional Services.)
- Here’s an example of what you should send to our Support team for your request: Hey OpenSpace Support team, on project [insert link] we uploaded a sheet that had both Level 1 and Level 2 on the same sheet and captured it. Can you please split the captures?
Deleting a sheet
Deleting a sheet with no data associated is easy—in this case the trash can icon will be available in the lower left corner of the sheet. However, if there is data associated with the sheet, such as 360 captures (videos and/or photos), Field Notes, or Zones, you cannot delete the sheet until all data is removed. If you want to keep some or all of the data, please contact OpenSpace Support to discuss the options available.
FAQ
What if I don’t have a sheet?
Uploading jobsite sheets is what enables OpenSpace AI to do its magic. However, alternate options could include using a Google Maps image for site plan walks or drawing your floorplan out with a sharpie or a software tool.
Do sheet replacements involve additional charges?
In most cases, standard sheet replacements are included in our Support service. However, requests that are deemed excessive or fall outside normal support scope may incur additional costs.
- “Excessive” is defined as any request that requires more than one hour of dedicated resources.
- A “sheet replacement” refers to the process of substituting an existing sheet in a project with a new version, typically when the current sheet is outdated or has been updated with more accurate information.
If your sheet replacement request involves complex modifications, multiple sheets, or restructuring that affects linked captures or project data, OpenSpace may assess additional fees. All such requests are subject to review and approval by OpenSpace.
If you have any additional questions please reach out to the OpenSpace Support team at support@openspace.ai.
