Managing Procore Integrated Field Notes

Overview

With Integrated Field Notes, you can create Procore Observations and Punch Items directly from the OpenSpace mobile app while keeping the record linked to Procore. That means you can capture issues from the field with photos and AI Autolocation, then manage and resolve those issues in OpenSpace or Procore. You can also create Procore Observations and Punch Items in OpenSpace on desktop.

After you create a native Procore Observation or Punch Item in OpenSpace, supported fields stay aligned between OpenSpace and Procore through two-way sync. OpenSpace also generates a Field Note PDF report and attaches it (along with relevant images) to the corresponding item in Procore.

Permissions 

Prerequisites 

To edit Field Notes with two-way sync to Procore Observations or Punch Items, you must first:

• Enable the Procore integration on your project. Find instructions in this article.

Create an Integrated Field Note from the OpenSpace mobile app

• Open the OpenSpace mobile app and enter the project you want to work in.
• Tap the blue camera icon to open the camera view. 

• Take one or more photos you want to include.
• Select Observation or Punch Item.

• Set the Observation/Punch Item location on the desired sheet and select Save.

• Fill out the desired Observation/Punch Item fields, then select Save. 
  • Note: Title, Status, and Type are required fields to create an Observation/Punch Item.
  • Tip: Try filling out your Integrated Field Note using AI Voice Notes or the copy recent feature to save time.

• You’ve now successfully created an Integrated Field Note in OpenSpace. These Observations and Punch Items will automatically be created in the integrated Procore project, and any edits you make in either system will sync bidirectionally. 

Viewing Integrated Field Notes in the OpenSpace mobile app

• In the OpenSpace mobile app, enter the project you want to work in.
• Tap Field Notes on the project homepage.

• Select Observations or Punch Items, then select the Integrated Field Note you want to view.

• You can scroll/view the latest information for the Integrated Field Note.
  • Note: You can only view these items in the mobile app. To edit, you need to use OpenSpace on desktop. Editing in mobile is coming soon. 

Create a Procore Integrated Field Note in OpenSpace on desktop

• Log in to OpenSpace on desktop and enter the capture viewer on the project you want to work in.
• Select the dropdown next to Field Note, then select Observation or Punch List Item.

• Your mouse now displays as the Procore icon. Click where you want to place your new Observation/Punch List Item.

• Fill out the desired information for the Observation/Punch List Item, then select Create.

Viewing & editing Integrated Field Notes in OpenSpace on desktop

• Log in to OpenSpace on desktop and select the desired project you wish to work in.
• Select Field Notes from the project sidebar.

• Select Observations or Punch List, then select the Integrated Field Note you want to view.

• Here, you can view/edit the content of your Integrated Field Note. Any edits you make here will automatically sync to the associated Observation/Punch Item in Procore. 
  • Note: Any updates made to the associated Observation/Punch item in Procore will also automatically sync back to OpenSpace. 
  • Tip: You can also view/edit Integrated Field Notes from the sheets/capture view in OpenSpace.
